Our policies were created to be as fair as possible and meet the needs of everyone involved in the process – customers, Gen X Travel Club and our suppliers. Please take the time to read our terms and conditions. Payment of a deposit is acceptance & understanding of these conditions.
Reservations, Deposits & Payments – A deposit ($500 or 30%) is required to reserve your spot on a trip. The remaining balance is due 30 or 75 days prior to the departure date depending on the trip. We reserve the right to treat your reservation as cancelled if your final payment is not made when due. If you book a trip within 75 days of the departure date, then the full amount is payable at the time of booking. All payments must be through our online booking and payment processing system, which uses PayPal to accept credit cards.
Once we have received your deposit, we will confirm your space and send you a confirmation package containing your trip itinerary, any visa/travel permit related documents, invoice, insurance information, packing recommendations, general information on your destination(s), and any forms you may need to complete. Your final tour packet will be sent approximately 2-3 weeks prior to departure. Travelers are responsible for checking their documents and itineraries upon receipt.
Booking Confirmation – Your booking is considered officially accepted and confirmed when you receive an email confirmation upon full payment.
Air Transportation – Travelers are responsible for reconfirming airline reservations before travel: 24 hours for domestic flights and 72 hours for international flights. We recommend that travelers check in at the airport 1 – 1½ hours in advance for domestic flights and 2½ – 3 hours for international flights. If you purchase airfare yourself, you are advised not to book air arrangements until you have been confirmed for the trip. If you are not using us for your air travel, it is your responsibility to provide us with your air schedule prior to your departure.
Additional Fees & Charges – Additional charges for single supplement, extra accommodation, visa/permit fees, international air taxes/fuel surcharges, domestic air taxes, arrival/departure transfers (for land only customers and early arrivals/late departures), will be added to your invoice, if applicable.
Note that airlines tickets are usually non-refundable and valid only for the flights indicated. Airline carriers, as well as hotels, have their own cancellation polices and fees that vary from company to company. You are strongly advised to get cancellation insurance at the time of booking to cover cancellation penalties.
If you leave a trip for any reason after it has commenced, we are not obliged to make any refunds for unused services.
Though rare, it is possible that we may cancel a trip at any time prior to departure for unforeseen reasons such as acts of terrorism, natural disasters, political instability or other external events that cause us not to be able to commence with the planned trip and itinerary. If we cancel a trip, you are entitled to a full refund. You may also apply the amounts paid as credit toward another trip. Please note that we are not responsible for any incidental expenses such as obtaining visas, vaccinations or non-refundable flights.
While we will provide you a list of required travel documentation for each trip, it is your responsibility to obtain and bring all necessary travel documentation. Travel documents include airline tickets, hotel vouchers, tour passes used to confirm an arrangement with a service provider Travel documents also include passports and any visas, permits or certifications required by the country we will be visiting during the trip. All travelers must have a valid passport for international travel and many countries require at least 6 months validity from the date of entry. We are not responsible if you are refused entry to a country due to lack of proper travel documentation.
We strongly recommend trip cancellation insurance to protect yourself against unforeseen issues such as trip cancellations, interruptions and delays; lost or stolen travel documents; loss of luggage and personal effects, medical expenses including emergency medical transportation/evacuation; and natural disasters and civil unrest.
Gen X Travel Club is a travel agent only acting as an intermediary between travel vendors and travelers for the arrangement of travel-related services and products. We contract with a network of companies, government agencies and individuals to assist in the running of our trips as agent for these third parties. We are not responsible for the acts, omissions or default of these third parties. We are not responsible for anything that we do not directly process or provide.
